Download Email Attachments → Dropbox → Forward to Team
Tony pulls attachments from a client email, saves them to the correct Dropbox project subfolder, generates a share link, and forwards to a team member with the files attached and a summary of the client's message. One command handles the full chain.
Example: "Find Jasmine's email with the platform photos, save them to Guardian Decom Art folder in Dropbox, then email Peter with the images and CC me and Nancy referencing what she said."
Tony does: Downloads attachments → uploads to Dropbox → emails team with attachments + Dropbox link + client quote.

Upload Files to a Project
Forward any email with an image, video, or PDF to tony@austinvisuals.com. Tony routes it to the correct project folder. If the destination is unclear it asks for confirmation. A Dropbox link is always sent back so you can verify.

Create New Project — Client Area
Creates a full folder structure under /Client with 7 standard subfolders: Client, Art, Client Reference, Project Files, Renders, Scripts, Uploads. Sends a confirmation with a Dropbox link.

Dropbox File Request / Transfer
Tony can generate a Dropbox file-request link aimed at any project or prospect folder, email it to the client, and automatically share the destination folder with the right internal teammate (e.g., Adam). Great for collecting reference dumps without giving clients full Dropbox access. Tony can also monitor the intake folder hourly and alert Matt when new files land.
Subject: Dropbox transfer Landon Lockwood → Adam
Body: Collect reference uploads for Adam, share with adamgravois@gmail.com, alert me hourly when new files arrive.

CC/BCC Passive Scan
CC or BCC tony@austinvisuals.com on any client email. Tony scans the thread for attachments and links, files them to the correct project folder, and replies with a confirmation + Dropbox link. Deduplication prevents re-filing files from prior emails in the same thread.

Best Of Sheet — Auto Sync
When a new project is created, Tony automatically adds a row to the AV Best Work Samples sheet with the project name and Dropbox folder link. No manual entry needed. As the project progresses, YouTube, Vimeo, and AV Web links can be added to that row.

Kling Start/End Frame Video Workflow
Send Tony high-res start + end frames (or a multi-image reference set) plus the creative brief. Tony packages the shot for Kling, tracks the render, and drops the MP4 + thumbnails into artifacts/kling/[project] with ready-to-paste storyboard notes.

Attachments / Links: start.png, end.png (or a Dropbox folder with numbered frames).

Email any MP4 to jennifer@austinvisuals.com with instructions like “Watermark this clip.” Tony tiles “Austin Visuals Sample” (or any text you specify) in a 3x3 grid across the frame at ~18% opacity, keeps audio intact, and emails the watermarked file back for safe sharing.

Generate Signed W9 (Nancy & David only)
On request, Tony generates a dated, signed Austin Visuals W9 PDF using today's date (or a specified date). The file is uploaded to Dropbox and a share link is returned. Available to Nancy and David only — Matt can also request at any time.
Example: "Generate a W9 for today" or "I need a W9 dated 04/14/2026 for a client."
Tony replies: Dropbox share link to the signed, dated W9 PDF.

Real-Time Chat with Tony via Slack
Team members can message Tony directly in real time via the Austin Visuals Slack workspace. Each person must be whitelisted and complete a one-time email verification before gaining access. Access is tiered by role — artists, operations, and developers each have different permissions. To request access, talk to Matt.
How to get access: Ask Matt Winters to add your email to the whitelist. Once invited to the Slack workspace, DM Tony and follow the verification prompts.

Note: Matt’s primary super-admin access is via Telegram. Slack is for the broader team.

Sign & Fill PDF Documents (NDA, Contracts)
Tony fills party details on PDF contracts/NDAs using Austin Visuals' info and overlays Matt's signature. Saves to Dropbox and returns a direct download link. Matt reviews before sending to the other party.
Example: "Fill out this NDA from Krista and save it to her Dropbox folder."
Tony does: Fills all blanks, applies signature, uploads to Dropbox, returns direct link.

Creates an instant Google Meet link — either just the link itself, or a full calendar invite sent to multiple attendees. Calendar invite includes the Meet link, date, time, and 15-minute reminder.

Creates and emails a .ics calendar invite to any address. Includes title, date, time, and a 15-minute reminder. Works with Google Calendar, Apple Calendar, and Outlook.

Tony does: Sends ICS invite — appears in recipient’s calendar automatically.

Stream-of-consciousness → polished email draft
Send Tony rough notes, bullet points, or a stream of consciousness. Add MAKE FORMAL when you want a neutral, executive-ready tone, or tag PERSONALIZE NOTES (Name) to have Tony mirror that recipient’s past voice using the whitelisted contractor personas. Nothing goes out externally until you reply with “SEND,” so you stay in control.
Example — MAKE FORMAL: “MAKE FORMAL: john fador — thank him for call, remind NDA signed, need source files asap, cc Nancy, ask for reply by Friday.”
Tony replies: Boardroom-ready email + “SEND?” prompt.

Example — PERSONALIZE NOTES (Nancy → Matt): “PERSONALIZE NOTES (Matt): nancy wants matt to see revised storyboard, stress it matches his voice memo, invite him to call tomorrow.”
Tony replies: Draft written in Matt’s familiar tone, still ending with “SEND?” so you can approve or tweak.

How to use Tony

Email: Send requests to tony@austinvisuals.com with a clear subject line. Tony responds to approved Austin Visuals team members only.

Limits: Tony follows approved workflows only. For new capabilities or changes, go through Matt.

Verification: Every file operation includes a Dropbox link so you can confirm where things landed.
